What is AutaRota?
AutaRota is a rota and shift scheduling platform built for UK hospitality teams. It covers staff management, shift and rota building, forecasts, and (on Professional and above) holiday requests, so managers can build and publish a rota from one place.
Does AutaRota use AI to build rotas?
Yes. AI Scheduling is available on the Professional plan as an add-on, and is included on Enterprise. It generates a first draft of shift slots for the week from your forecast and staffing rules, which you then review, adjust, and publish.
Do my staff need to install anything?
Staff use the free AutaRota mobile app (iOS and Android) to view their published rota, request leave, and get shift notifications. Managers can use the mobile app or the web application.
Can I use AutaRota across multiple sites?
Yes. The Starter plan covers a single location. Professional supports up to 3 locations, and Enterprise supports unlimited locations, each with its own rotas and reporting.
Billing
How long is the free trial?
Every AutaRota plan includes a 14-day free trial with full access to your selected plan. Cancel any time before it ends and you will not be charged.
Do I need a credit card to start the trial?
Yes. You enter your card details when you sign up, but you are not charged until the 14-day trial ends. You can cancel at any time during the trial at no cost.
What does AutaRota cost?
Starter is £25/month (£250/year), Professional is £65/month (£650/year), and Enterprise pricing is custom, starting from £150/month. AI Scheduling is a £20/month add-on on Professional, and is included by default on Enterprise.
Can I cancel at any time?
Yes. You can cancel your subscription at any time from your account settings, and you will keep access until the end of your current billing period. There is no minimum contract term on Starter or Professional plans.
Data and security
Is AutaRota GDPR compliant?
AutaRota is designed to comply with UK GDPR and the Data Protection Act 2018. When your organisation uses AutaRota to manage staff, you are the data controller for your employees, and AutaRota acts as a data processor under our Data Processing Addendum. Data Processing Addendum
Where is my data hosted?
Personal and workforce data is primarily stored and processed in the UK and the EEA using our cloud hosting, database, and authentication providers. Where data is transferred outside the UK/EEA, we rely on appropriate legal safeguards such as the UK IDTA or Standard Contractual Clauses.
Do you take backups?
Yes. Your data is backed up as part of our standard operational practices, and security and access logs are retained for a limited period to support security and troubleshooting.
Who owns our data?
Your organisation owns the data it puts into AutaRota. We process it on your instructions to provide the service, and will delete or return it in line with our Data Processing Addendum if you close your account. Data Processing Addendum
Getting started
How do I get started?
Start a 14-day free trial from this website. You will be asked to create your organisation, add your locations, and invite your team, after which you can start building your first rota.
How long does setup take?
Most teams are able to add their staff and build a first rota within an hour. You can import your existing staff list and adjust settings such as locations and roles as you go.
